Appointments may be booked online, by phone, or in person. We recommend a 24-hour notice for cancellations or reschedules. Late cancellations or no-shows may incur a fee or deposit forfeiture, and repeated issues may require prepayment.

3. Consultation & Treatment Recommendations
All clients receive a consultation before undergoing any treatment. Treatments may be delayed or not recommended if—or until—your provider determines you are not medically suitable.

4. Pricing & Payment Terms
You are responsible for payment at the time of service unless otherwise arranged. We accept credit cards, care financing programs, and cash. We reserve the right to correct pricing errors and adjust prices without prior notice. Recurring or package payments require your consent and cannot be transferred unless specified.

5. Refund & Cancellation Policy
Services rendered are non-refundable. Package deals are non-transferable after the first treatment is provided. Products may only be returned unopened and within 14 days of purchase.

6. Privacy & Confidentiality
All personal and medical information is held securely in compliance with HIPAA. Before sharing records externally, we obtain your consent. In rare legal circumstances, we may be required to release information without your consent, but only where permitted by law.

7. Images & Testimonials
We may request permission to take before-and-after images. Use is optional; you may withdraw consent at any time. Images are used only with your explicit authorization.

Any content submitted to us—such as comments or feedback—may be used by us without compensation, and we reserve the right to edit or remove content that violates policy.

At Potomac Medical Aesthetics, we use RingCentral, a secure, cloud-based communications  platform, to provide seamless, professional, and confidential communication with our patients,  vendors, and team members. This policy outlines how we use RingCentral and what you can  expect when communicating with us through this system. 

  1. Purpose of Use 

Potomac Medical Aesthetics uses RingCentral to support key aspects of our patient care and  business operations, including: 

  • Scheduling and confirming appointments 
  • Secure messaging with patients and vendors 
  • Virtual consultations and telehealth sessions 
  • Internal communication among our clinical and administrative teams Follow-ups, reminders, and patient education 

All communications through RingCentral are intended solely for business and patient-care  purposes, in compliance with HIPAA regulations and applicable privacy standards. 

  1. Call and Meeting Recordings 

Certain phone calls and virtual consultations conducted via RingCentral may be recorded for  quality assurance, staff training, or compliance. If a call or meeting is being recorded, patients  will be notified in advance and have the right to decline participation or request a non-recorded  alternative if appropriate. 

We do not record or share private conversations without proper notice and patient consent. 

  1. Privacy and Security 

Your privacy and the confidentiality of your medical information are our top priorities.  RingCentral communications are protected with enterprise-level encryption and security  protocols to ensure your data is safe: 

  • All communications are encrypted using TLS and SRTP protocols
  • Access to communications is restricted to authorized Potomac Medical Aesthetics  personnel only 
  • No personal health information is shared outside our practice without your explicit  consent 

We follow all federal and state privacy laws, including HIPAA, to protect your sensitive  information.

To ensure respectful and professional interactions through RingCentral, the following uses are  strictly prohibited:
